Digital trade documentation can change how information moves between authorities. It does not remove the need to establish the identity, origin and commercial details of the goods being shipped.

The June 2026 change

A MITI announcement published through myTRADELINK on 28 May 2026 stated that Malaysia and China would begin real-time electronic exchange of preferential certificate of origin data under ACFTA and RCEP from 1 June 2026. The announcement includes back-to-back and movement certificates and says the arrangement applies to trade between Malaysia and China.

Applications continue through the existing ePCO platform under the relevant procedures. Approved data is then exchanged between the authorities. Importers into Malaysia are directed to the Royal Malaysian Customs Department’s applicable requirements.

What should an order team check?

  • Identify the agreement being considered and the proposed proof of origin.
  • Confirm who prepares the application and who reviews its supporting information.
  • Match the goods description, quantities and commercial references across documents.
  • Ask the importer or appointed agent how the electronic data will be used for the specific shipment.
  • Check current platform instructions, fees and any exception-handling procedure before submission.

Keep an accessible document record

Use one agreed order reference and retain the final versions shared with the supplier, forwarder and importer. If a shipment changes, record the revision rather than allowing several different packing lists or invoices to circulate under the same filename.

A useful handover identifies the document owner, current version, outstanding question and next action. This is an internal coordination practice; the required official records and submission process must be confirmed for the transaction.

Where coordination support fits

CAPAZ Holding can discuss collecting supplier information and coordinating communication between the parties. Certificate issuance and customs decisions remain with the responsible authorities and authorised parties. The specific support requested should be defined before work begins.
