How to Write a Sourcing Brief That Suppliers Can Quote

A request for quotation is most useful when suppliers are answering the same question. A short message asking for a “best price” leaves important variables unresolved and can produce offers that are difficult to compare.

Start with the product and its use

Describe what you need to buy and what it will be used for. Include a drawing, model reference, material specification or product sheet where available. Distinguish essential requirements from preferences, and state whether equivalent alternatives may be proposed. Give each attachment a revision number or date.

Include the commercial brief

  • Quantity: trial volume, order volume and any indicative repeat demand, clearly separated.
  • Packaging: pack size, pallet requirements, labelling and any handling constraints.
  • Destination: country, port or named delivery address.
  • Timing: the requested delivery window and whether it is flexible.
  • Documentation: the product and shipment records your team requires.
  • Quotation format: currency, delivery basis, validity, production timing and exclusions.

Ask for deviations to be visible

Give suppliers space to explain where their offer differs from your request. A different material, package size or minimum order may be commercially relevant. Keep it visible in the comparison instead of treating every quotation as technically identical.

For example, a price per carton cannot be compared fairly without knowing the units per carton. A short production lead time also needs a defined starting point, such as specification approval or another agreed milestone.

Use a simple response table

For each supplier, record the quoted item, specification revision, quantity, unit, price, delivery point, validity and open questions. Keep assumptions in a separate column. This provides a working discussion document rather than implying that the lowest headline price is the most suitable offer.

Send CAPAZ Holding your brief to discuss the sourcing or procurement coordination you need. Initial research, sample arrangements and purchasing support can be considered as separate activities with an agreed scope.
