Checking a Malaysian Supplier Before a First Order

A supplier review works best as several separate checks. Corporate registration, technical capability, product suitability and the proposed payment arrangement answer different questions. A positive result in one area does not settle the others.

Confirm the business identity

The Companies Commission of Malaysia, SSM, provides company information through its listed information service portals. A company profile can support a review of the registered entity. Use the registration number as well as the company name, and keep a dated copy of the information you relied on.

Compare that identity with the quotation, invoice and contracting party. Ask for an explanation if different entities appear in the manufacturing, selling or payment arrangements. Record the proposed role of each company.

Review capability against your requirement

  • Does the proposed supplier manufacture the product or source it from another party?
  • Which location, product line and technical specification are relevant to the order?
  • What evidence is available for the production capacity and timing being discussed?
  • Do certificates or test reports cover the correct product, site and current scope?
  • Can the sample or inspection arrangement address your key acceptance criteria?

Keep commercial questions separate

Confirm quotation validity, order quantities, packaging, delivery basis and the method for handling changes. Payment details should be checked through an independently established company contact, especially if instructions change during an order discussion.

A site visit, sample review or third-party inspection can be considered where relevant. Each has a specific purpose and limitations; none should be treated as a blanket guarantee of a supplier’s future performance.

Record what remains unknown

A useful review ends with a list of evidence received, questions unresolved and decisions still required. CAPAZ Holding can discuss local supplier liaison and coordination of requested information. Technical, financial or specialist assessments should be assigned to the appropriate parties under a defined scope.
