Define what follow-up is expected to cover
Production follow-up coordinates communication after the order requirements have been agreed. It can cover the status of materials, production, packing and readiness for an agreed inspection or collection. The useful starting point is a written milestone plan identifying who supplies each update and who makes the relevant decisions.
Build the plan around the order
Record the approved specification, order reference, quantity, packing instructions and target milestones. Ask which events can be confirmed by documents or other evidence. Distinguish a planned date from a date reported as completed. If a timeline changes, preserve the earlier position and the explanation rather than overwriting the history.
Use an exception log
A progress report should highlight missing information, changed dates and differences from the agreed requirements. For each item, record the issue, information available, responsible party and decision needed. Photos and supplier statements can support a status update, but their source and date should remain clear. They do not automatically constitute an independent inspection.
Control changes before they become assumptions
Changes to raw materials, packaging, labels or shipment quantities should be referred to the party authorised to approve them. Keep the request and approval in the order file. A coordinator should not treat silence as acceptance or convert a supplier’s proposed alternative into an approved specification.
Prepare for the next handover
Before collection or inspection, bring together the current packing information, outstanding technical questions and the parties’ next actions. Release of goods, acceptance of quality and transport booking are separate decisions that depend on the agreed scope. To request follow-up support, provide the order stage, supplier location, milestone plan and the reporting format required.
Discuss the required support
Share the product or project brief, destination and the activities you would like to coordinate.
