Treat oil and desiccated coconut as separate enquiries
Coconut oil and desiccated coconut are distinct ingredients with different qualification requirements. Desiccated coconut is used where particle texture and coconut character matter, while refined coconut oil is considered for its fat functionality. A procurement request should identify the intended application rather than relying on the word “coconut” alone.
For desiccated coconut, define the grade
Discuss fat content, particle size, moisture and the sensory profile required by the recipe. Low-, medium- and high-fat descriptions are not a substitute for numerical limits in an agreed specification. Ask whether the material is sweetened or unsweetened and request an ingredient declaration. Confirm the sampling method and how any microbiological requirements will be documented.
For coconut oil, describe the process
State whether the request is for refined, bleached and deodorised oil or another defined type. Review melting behaviour, free fatty acids, moisture and oxidation indicators against the intended use. Do not assume that coconut oil remains liquid at every room temperature: storage and processing temperatures should be discussed explicitly. A factory trial should assess performance within the actual formulation.
Check packing, handling and origin
For dry coconut ingredients, ask about the bag liner, sealing, pallet protection and storage instructions. For oil, confirm the selected container and receiving equipment, including whether temperature management is needed. Request manufacturing and packing dates, declared shelf life and the remaining shelf life required on arrival. The trading location, country of manufacture and agricultural origin may differ; record each where relevant.
Define the support required
A sourcing brief can request collection of technical documents, coordination of samples and comparison of proposed packing formats. Include the destination, estimated quantity and the receiving factory’s qualification checklist. Approval of composition, food suitability and the finished formulation remains with the buyer and the relevant specialists. Shipment arrangements should follow the approved product and packing specification.
Discuss the required support
