A shipment file is easier to manage when it starts before dispatch. The buyer, supplier and logistics provider should know which documents are needed, who prepares them and when the final versions must be available.

Begin with the commercial record

MATRADE’s export guide describes a commercial invoice as a record of the commercial transaction, including the goods, parties, quantities, price and relevant terms. It also explains the role of a bill of lading in recording goods received for shipment or shipped by sea.

The required file varies with the product, destination, transport mode and commercial arrangement. Treat a general checklist as a starting point for confirmation, rather than a universal list.

Set up a document register

  • Order and specification: the agreed product, quantities and current revision.
  • Commercial invoice: the transaction details and agreed references.
  • Packing information: package counts, weights, dimensions and identification.
  • Transport document: the appropriate document for the chosen movement.
  • Product and origin records: certificates, declarations or reports confirmed as relevant to the shipment.

Compare the key fields

Check the spelling of company names, addresses, product descriptions, units, quantities and order references across the documents. Ask the appointed agent which classification and filing details must be confirmed. If a packing change affects weight or package count, ensure the relevant records are revised together.

Control versions and handovers

Give each working file a clear status: draft, under review or final. Keep a register showing its owner, latest version, intended recipient and unresolved issue. Avoid using an old attachment merely because it appeared in an earlier email thread.

Before dispatch, confirm the importer’s document needs and the agreed method of release or delivery of any transport records. Do not treat a draft document as evidence that goods have moved.

CAPAZ Holding can discuss supplier document collection and communication with appointed service providers. The issuing parties remain responsible for their documents, and the required support is agreed for each shipment.
